The DocuVault module in EstateFlow ERP provides a secure, centralized system for storing, organizing, and managing all business documents — including contracts, permits, purchase orders, designs, payment records, and compliance documents. It ensures that critical files are accessible to authorized personnel anytime, from any device, while maintaining strict version control and compliance standards.

This module is particularly valuable for real estate development projects, where multiple stakeholders require controlled access to sensitive documents and where document traceability is essential for audits and project handovers.

Pre-Requisites & Access Rights

  1. Ensure DocuVault Module is enabled in Admin > Module Settings.

  2. Configure User Roles & Permissions in Admin > Roles & Permissions for:

    • Upload Documents

    • Create Folders

    • Manage Permissions

    • Delete Files

  3. Define Storage Limits and Allowed File Types under Settings > Document Management.

  4. Optional: Integrate with Google Drive or Dropbox for cloud backup.

Step-by-Step Instructions


Creating Folders and Subfolders
  1. Navigate to Modules > Document Management.

  2. Click + New Folder.

  3. Enter Folder Name and select Parent Folder if creating a subfolder.

  4. Assign Access Permissions (optional).

  5. Click Save.

Uploading Documents
  1. Open the desired Folder/Subfolder.

  2. Click Upload Document.

  3. Browse and select the file from your computer.

  4. Enter document details:

    • Title

    • Description

    • Tags (optional)

  5. Click Upload.

Linking Documents to Other Modules
  1. Navigate to the relevant record (e.g., Project, Purchase Order, Asset).

  2. Open the Documents Tab.

  3. Click Attach Document.

  4. Select an existing file from DocuVault or upload a new one.

  5. Click Link.

Managing Document Versions
  1. Open the document record.

  2. Click Upload New Version.

  3. Browse for the updated file.

  4. Add Version Notes (e.g., "Updated project drawings – Phase 2").

  5. Click Save.

Searching for Documents
  1. Navigate to Document Management > Search.

  2. Enter keywords, tags, or select filters (date, type, uploader).
