Overview

The StockManager Pro module centralizes inventory control across all warehouses, project sites, and departments. It allows real estate developers, construction firms, and logistics teams to efficiently manage material inflow, usage, tracking, and reporting. The system supports batch tracking, unit conversions, and warehouse-specific entries, ensuring full control of materials and supplies during project lifecycles.

Pre-Requisites & Access Rights

  1. Ensure the StockManager Pro module is enabled.

  2. Define Warehouse locations under Settings > Inventory > Warehouse Setup

  3. Assign appropriate access rights in Admin > Roles & Permissions, including:

    • Warehouse Management

    • Inventory Receipts and Issues

    • Stock Adjustments and Returns

  4. Set default UOMs under Settings > UOM Configuration

  5. Confirm integration links with:

    • ProcurePro (Purchase Module)

    • FinMaster (Accounting Module)

Step-by-Step Instructions

Setting Up Warehouses
  1. Navigate to Inventory > Warehouses

  2. Click + Add New Warehouse

  3. Input Warehouse Name, Location, and Type (e.g., Site Store, Central Depot)

  4. Click Save

Configuring Units of Measure (UOM)
  1. Navigate to Inventory > Settings > Units of Measure

  2. Click + Add UOM

  3. Enter UOM Name (e.g., Bag, Ton, Liters), Symbol, and Conversion Rate (if linked)

  4. Save and repeat for all required UOMs

H5. Recording Opening Stock
  1. Navigate to Inventory > Opening Stock

  2. Select Project, Warehouse, and Date

  3. Add each item with quantity, UOM, and value (if applicable)

  4. Click Save

Inventory Receiving (IRV)
  1. Go to Inventory > Receiving Vouchers

  2. Click + New IRV

  3. Select associated Purchase Order or create standalone receipt

  4. Fill in Item Details, Quantity Received, and Supplier Info

  5. Click Save

Inventory Delivery (IDV)
  1. Navigate to Inventory > Delivery Vouchers

  2. Click + New IDV

  3. Choose the requesting department/project

  4. Select items, quantity, and delivery purpose

  5. Click Save

Stock Returns & Adjustments
  • For Returns:

    1. Navigate to Inventory > Returns

    2. Click + Return Entry, select source IDV, and complete form

  • For Adjustments:

    1. Navigate to Inventory > Adjustments

    2. Choose Adjustment Type: Gain, Loss, or Revaluation

    3. Provide Reason and Approval Comments

    4. Save

Low Stock Alerts & Reporting
  1. Navigate to Inventory > Stock Alerts

  2. View items that fall below minimum stock level

  3. Reorder using integrated ProcurePro > Purchase Requisition

  4. Navigate to Inventory > Reports to access:

    • Current Stock Levels

    • Stock Movement History

    • Inventory Value Report

Troubleshooting & Common Issues

Issue: IRV cannot be submitted.
Solution: Ensure UOM and item configuration is complete and the linked PO is approved.

Issue: Negative stock value shown in report.
Solution: Check delivery entries against IRV and confirm stock level was adequate.

Issue: Opening Stock not visible in reporting.
Solution: Ensure entry is saved under correct warehouse and project.
